Denver, CO, October 11, 2006 – Integro, Inc. released version 3.7 of its Integro Email Manager (IEM) software.  IEM is records management software that helps companies comply with regulatory and legal requirements related to the retention of email records, while at the same time helping minimize email storage demands.  IEM 3.7 incorporates dozens of new and improved features and offers companies a cohesive solution for proper email management.

IEM operates using a process called Zone Management, which distinguishes official email records from less essential emails, thus eliminating the need to retain and store every email that comes through a company’s email system.  With zone management, a company’s employees designate emails into pre-defined zones using folder drag and drop, button clicks, or automated rules.  This process associates business value with each email so records policies and systems can manage them accordingly.  Zone management also helps control email storage requirements.  Emails that are not considered records, such as spam and personal messages, can be disposed of, freeing up storage space and ultimately lowering costs.

IEM 3.7 features the following:

  • Manages both official records (subject to laws and regulations) and convenience records (everything else) – Ignoring convenience records can subject a company to greater risk and increased storage pressures.  In addition to appropriately managing official records, IEM provides tools to facilitate the early disposal of convenience records.  
  • Manages the entire mail file – IEM doesn’t overlook certain components of a mail file; it manages everything, including email messages, calendar entries, and tasks.
  • Coordinates the archiving process – Rather than shoving everything into an archive, IEM carefully coordinates the process, leaving convenience copies behind in users’ mailboxes, eliminating duplicate memo copies, and linking everything together for eventual disposal.
  • Centralized end user management – IT, administrators, or records coordinators can centrally manage space and time controls, rules, exceptions, overrides, and reporting.
  • Self-managing for end users – A dashboard gives users tools to track email zone status, control email designation, and manage disposal of convenience records. 
  • End user record-keeping – Users can do many things like identify triggers for future events or request reclassification..
  • Seamlessly integrates with IBM records and content management systems – IEM hooks up quick and easy for companies who already have or plan to select IBM products.
  • Operates in the existing mail system – IEM works inside of Lotus Notes or Microsoft Exchange, eliminating the need to load software on each workstation and making it easy for IT staff to install, configure, and manage.
